Before members can receive or display ID Cards, the feature must be enabled for your organization.
This is done in the Administration → Setup → Accounts → ID Cards page.
Once enabled, Pool Queue will automatically generate a secure, persistent ID Card for every member — including future members created through registration.
1. Opening the ID Card Setup Page
Go to Administration.
Select Setup → Accounts → ID Cards.

The page includes two main sections:
Feature — controls how the system behaves.
Public Display — controls what information is visible when a QR code is scanned.
2. Feature Settings
| Setting | Description |

| Enable ID Cards | Turns the entire feature on or off. When off, members and admins cannot access ID Cards. |
| Include with Registration | When checked, new members automatically receive an ID Card after completing registration. |
| Audit Lookups | Logs every QR code scan to Azure Table Storage, including timestamp, IP address, and browser information. Useful for verifying usage. |
Tip: You can disable or re-enable the feature at any time. Disabling does not delete existing cards.
3. Public Display Settings
This section controls what fields appear on the public verification page when the QR code is scanned.

| Show Member Number | Displays the member’s unique number. |
| Show First Name / Last Name | Displays the swimmer’s registered name. |
| Show Preferred Name | Displays the preferred name if available. |
| Show Age | Displays calculated age (no birth date is shown). |
| Show Registration Status | Displays a simple Active/Inactive indicator. |
| Show Registration Details | Displays the roster, group, and session details for current or recent registrations. |
Privacy Note: We recommend showing only the fields that are necessary to verify membership.
4. Initializing Existing Members
When you enable ID Cards for the first time, existing members won’t yet have one.
To generate cards for everyone at once:
Open the ID Cards setup page.
Click Create missing ID cards in the Without ID Cards panel.

Pool Queue will:
Scan all active, non-suspended members.
Create a new ID Card for each who doesn’t already have one.
Assign a permanent, non-guessable public address to each card.
Once complete, the page refreshes and shows a confirmation banner (e.g., “143 cards created”).
This operation is idempotent — running it again will skip members who already have cards.
5. Confirming Cards Are Created
After initialization:
Each member now has an ID card record visible in their Manage Member panel.
Administrators can view, re-issue, or disable individual cards.
Members can later receive their card by email through the Send ID Card function.
