Once the ID Card feature is enabled, administrators and registrars can view and manage cards for individual members directly from the Members area.
Each member has exactly one ID Card record, which remains persistent over time (even across seasons or registrations).
The card can be viewed, reissued, or disabled from the member’s management panel.
1. Accessing a Member’s ID Card
Go to the Member Details page for a specific member.
In the member’s details view, select the ID Card command.
-
The panel displays:
The member’s name.
The current status (Active / Disabled / Revoked / Archived).
Buttons to Re-issue, Disable, or Reactivate.
2. Automatic Creation Behavior
When you open a member who doesn’t yet have an ID card, Pool Queue will automatically create one as long as the ID Card feature is enabled.
This ensures every member always has a persistent, valid card record.
If the feature is disabled, the ID Card panel will instead show an informational message indicating that the system is not active for your club.
3. Understanding Card Statuses
| Status | Meaning |
|---|---|
| Active | The member’s ID card is valid and can be scanned. |
| Disabled | Temporarily turned off by an administrator. Scanning shows the card as inactive. |
| Revoked | Indicates a compromised or permanently invalid card. |
| Archived | Historical, no longer in use (retained for record-keeping). |
4. Re-Issuing or Disabling a Card
In the ID Card panel for a member:
| Action | Description |
|---|---|
| Re-Issue | Creates a new public URL and QR code for the member. The old one becomes invalid. Use this if a card is lost or shared publicly. |
| Disable | Prevents the card from being verified while retaining its record. |
| Activate | Reactivates a previously disabled card. |
⚠️ Reissuing a card immediately invalidates the old QR code. Members will need to receive the new one by email.
5. What Happens When Re-Issued
When you click Re-Issue:
The system generates a new link for that member’s ID card.
The card’s status resets to Active.
Information about who performed the operation are stored in the record for audit purposes.
6. Managing Disabled or Revoked Cards
If a member’s card is disabled or revoked, scanning their QR code will show a red ❌ indicator and a message that the card is not active.
Administrators can reactivate the card if appropriate.
7. Permissions
| Role | Can View | Can Modify |
|---|---|---|
| System Administrator | ✅ | ✅ |
| Registrar | ✅ | ✅ |
| Account Holder | ✅ (email copy only) | ❌ |
