The ID Card system in Pool Queue is designed to be secure and privacy-conscious.
When your organization enables Audit Lookups, the system records every time a public ID Card page is opened — giving administrators visibility into when and how cards are used.
1. What Audit Lookups Record
If the Audit Lookups setting is turned on under
Admin → Setup → Accounts → ID Cards, Pool Queue logs a record each time anyone views a member’s public ID Card page.
2. Viewing Audit History
Authorized users can review audit logs directly in the admin area.
To view audit activity:
Go to Admin → Setup → Accounts → ID Cards.
The page displays recent lookup activity for the past year (newest first).
Columns include Date/Time, Member Name, IP Address, Browser, and Referrer.
3. Permissions
Only users with the following roles can view audit data:
| Role | Access |
|---|---|
| System Administrator | ✅ Full access |
| Registrar | ✅ Full access |
4. When to Use Auditing
Auditing is most useful when your organization:
Needs traceability for facility entry or event access,
Wants insight into how often cards are scanned, or
Wishes to monitor external link usage for security compliance.
