Overview – Pool Queue

The ID Cards feature gives every member a durable, scannable QR code that links to a secure, public verification page.
When scanned, the page confirms that the swimmer’s membership is currently active in your club.

This feature provides a quick and trusted way to confirm membership status ideal for facility access, event check-ins, or meet credentialing.

What It Does

Once enabled, Pool Queue automatically issues a digital ID card to every member.
Each card includes:

A unique QR code that links to a public verification page.
Non-guessable link – the QR code uses a random GUID that cannot be guessed or enumerated.
Minimal personal information, controlled by club settings.
Automatic issuance for new members during registration.
Email delivery (single or bulk) to account holders.

Key Components

Area	Description
Public Verification Page	Displays only the fields you choose (e.g., name, roster, active status). Accessible without login.
Member ID Card Record	Stored securely in your Pool Queue database. Each member has one persistent record.
QR Code	Generated automatically by Pool Queue’s freestanding QR service.
Email Distribution	Cards can be sent individually or in bulk to all members.
Audit Trail	Optional logging of all card lookups, including timestamp, IP, and browser information.

Who Can Use It

Role	Permissions
System Administrator / Registrar	Enable the feature, configure display fields, generate ID cards, and send them to members.
Coaches / Billing / Other Staff	Read-only access (no setup permissions).
Account Holders	Receive their member’s card by email or access it through their account.

Typical Use Cases

Checking membership validity at a venue.
Confirming active registration before an event.
Displaying affiliation at multi-team events.
Replacing physical cards with digital ones for easier management.

Example Workflow

Enable the ID Cards feature under Admin → Setup → Accounts → ID Cards.
Generate ID cards for all existing members (one-time initialization).
Send cards to members by email - individually or in bulk.
Members receive an email containing their QR code and verification link.
Scanning the QR code shows a simple public verification page confirming active status.

Privacy and Security

Pool Queue takes privacy seriously.
The ID Card feature:

Does not display full birthdates, contact information, or addresses.
Does not allow photo uploads.
Uses non-guessable URLs.
Stores audit logs securely when enabled.
