Pool Queue allows members to be marked as inactive. This is useful when a member is no longer participating with the organization but their historical records - such as past registrations, billing, or results - must still be preserved.
Marking a member as inactive helps keep registration and event workflows focused on members who are currently participating.
Inactive members remain fully visible in administrative areas of the system and can be reactivated at any time if the member returns.
When should a member be marked inactive?
Common scenarios include:
A member has aged out of the program.
A member has left the organization.
A member is taking an extended break and should not appear during new registrations.
Marking a member as inactive prevents them from appearing in places where members are selected for new activities.
How to mark a member as inactive (Administrators)
Navigate to Accounts & Billing / Accounts.
Open the account that contains the member.
Select the member you want to edit.
Check This member is inactive.
Click Save Changes.
Once saved, the member will be marked as inactive and an inactive notice will appear on their member page.
How to mark a member as inactive (Account Holders)
Account holders can also mark members on their account as inactive:
Go to My Account.
Edit the member.
Select This member is inactive.
Save your changes.
What happens when a member is inactive?
Inactive members:
Remain visible in administrative records and history.
Continue to appear in past registrations and reports.
Are excluded from new registration workflows.
Are excluded from event signup prompts.
This helps prevent accidental registrations for members who are no longer participating.
When a member cannot be marked inactive
A member cannot be marked inactive if they have registrations in:
a current session, or
an upcoming session.
Reactivating a member
If a member returns, simply:
Edit the account record.
Uncheck This member is inactive.
Save your changes.
