Additional member discounts let you automatically reduce the registration cost for the second, third, and any further members registering within the same account for a season (for example, an account enrolling multiple members). Pool Queue works out which members qualify, applies the discount you configured, and keeps the amounts in sync as members register or withdraw.
Before you begin: this is off by default
Automation is opt-in. Nothing changes until you turn it on.
If your organization has used additional member discount fees in the past, those fees keep behaving exactly as they do today until you explicitly enable automation. This is intentional; it lets you set everything up and review it before Pool Queue starts applying discounts on its own.
Once enabled, discounts are applied automatically going forward:
- When a member registers, Pool Queue recalculates the account's additional member discounts and applies them to the appropriate members.
- When a member withdraws, Pool Queue recalculates again so the remaining members keep the correct discount (for example, the discount shifts if the member it was applied to leaves).
Automation only ever adjusts discounts that have not yet been invoiced. Anything already invoiced or paid is never changed automatically.
Overview: how the discount is decided
- The first member in the account pays full price. They are never discounted.
- The first additional member receives the discount Amount you set on the fee.
- Further additional members can receive the same discount or a different one, using tiers (see below).
- Member ordering decides which members are treated as "additional." For example, you can choose to discount the youngest members and keep the oldest at full price.
Step 1: Create or open the discount fee
- Go to Setup > Registration > Fees & Discounts.
- Select New fee or discount, or open an existing fee.
- Choose one of the additional member discount fee types:
- Additional member discount amount: a flat currency amount off (for example, $25).
- Additional member discount percent: a percentage off (for example, 50%).
Step 2: Set the discount and ordering
- Additional member ordering: choose who receives the discount:
- Youngest members discounted
- Oldest members discounted
- Earliest registered first
- Amount: the discount for the first additional member. This is a dollar amount or a percentage depending on the fee type you chose.
Step 3 (optional): Add tiers for later members
Use tiers when the second, third, or later additional members should receive a different discount than the first additional member.
- Under Additional member discount tiers, select Add tier.
- Each tier row corresponds to the next additional member in order:
- The Amount above applies to the first additional member.
- The first tier row applies to the second additional member.
- The next tier row applies to the third, and so on.
- The last tier applies to that member and everyone beyond it.
- Enter the discount for each tier. Use the trash icon to remove a tier.
Example: Amount = 10%, one tier = 15%. The first additional member gets 10%; the second additional member and everyone after gets 15%.
Step 4: Assign a Product & Service (important for financial tracking)
Every fee, including a discount, must have a Product & Service assigned.
Best practice: assign a dedicated Product & Service specifically for the additional member discount. Do not reuse the same accounting code as the base registration fee. A dedicated code keeps the discount amounts separated in your financial reporting, so you can clearly see how much was discounted rather than having it blended into registration revenue.
Step 5: Assign the discount to rosters
Assign the discount fee to the roster(s) it should apply to, the same way you assign any other fee to a roster.
Tip: Assign only one active additional member discount per roster.
Step 6: Turn on automation
- Go to Setup > Registration.
- Find Automate additional member discounts.
- Turn it on and save.
From this point forward, discounts are applied automatically as members register and withdraw.
Frequently asked questions
Will enabling this change existing registrations right away? Automation applies going forward as members register or withdraw. Existing amounts that have not yet been invoiced are reconciled the next time the account is recalculated; anything already invoiced or paid is never changed automatically.
Who pays full price? Exactly one member per account pays full price; everyone else in the account can receive a discount. The Additional member ordering setting decides which member that is:
- Youngest members discounted: the oldest member pays full price; the younger members receive the discounts.
- Oldest members discounted: the youngest member pays full price; the older members receive the discounts.
- Earliest registered first: the member with the earliest allotted registration pays full price; the later ones receive the discounts.
What is the difference between the Amount and a tier? The Amount is the discount for the first additional member. Tiers let later members receive a different discount. If you add no tiers, the Amount applies to every additional member.
Can I give a 100% discount? No. A percentage discount cannot exceed 99%, and no discount can be negative.
What happens if a discounted member withdraws? Pool Queue recalculates the account's discounts on withdrawal, so the remaining members keep the correct discount. Only uninvoiced amounts are adjusted.
I turned it on but nothing seems to be applied. Confirm that: (1) automation is enabled, (2) the discount fee is assigned to the correct roster, (3) the account has more than one qualifying member for the season, and (4) there is only one active additional member discount on that roster.
