The Roster Schedule View provides a detailed, day-by-day breakdown of each class or training session scheduled within a roster. It helps registrars and coaches monitor member attendance, manage capacity, and review any notes related to individual members.

Navigating the Roster Schedule View
- Accessing the View: Explain that users can reach the Roster Schedule View by selecting a roster from the vertical navigation panel on the left, choosing the Schedule tab at the top of the page.
- Season and Session Selection: Outline that users can select the relevant season from the dropdown menu at the top left, and if a roster spans multiple sessions, they can switch between sessions to view specific schedules.

Understanding the Weekly Schedule Layout
- Day Columns: Describe how each day of the week (Sunday to Saturday) is represented in its own column. For each day, members registered in the roster and assigned to that day’s schedule are listed.
- Class Capacity: Highlight that each day’s column displays the remaining capacity at the bottom when slots are available. If there’s a waitlist for that day, waitlisted members are shown within the column.
- Example: “For example, in ‘A Class,’ Fridays might show ‘3 available’ if capacity hasn’t been met, or waitlisted members if the class is full.”

Member Details and Indicators
- Member Names: Each registered member is listed under the day they’re scheduled. The member’s name is clickable, taking users directly to their profile for more details if needed.
- Icons for Notes:
- Medical Notes: A heart icon appears next to members with medical notes, providing a tooltip with the details upon hovering.
- Internal Notes: If there are internal notes on a member’s registration for that roster, they are indicated with a separate icon, helping registrars quickly see if any extra attention or adjustments are needed.
- Example of Indicators: “Jane Doe has a heart icon, signaling that there are medical notes available for her.”

Actions and Utilities
- Mail and Print Options: At the top of each class, there are buttons to quickly Mail this group or Print this group. These features are helpful for sending group-specific updates or for having a physical attendance record on hand.
- Legend: A legend is provided at the bottom of the schedule, offering a quick reference for color codes and icons used within the view.
Tips
- Using Notes for Safety: Registrars and coaches should pay close attention to icons for medical and internal notes, as these can be critical for member safety and personalized care.
- Managing Capacity Efficiently: Check the bottom of each day’s column to monitor and manage remaining class capacity. If a day’s column consistently shows a waitlist, it may be worth adjusting the roster’s capacity or schedule.
