The Custom Fields feature in Pool Queue allows System Administrators to create and manage additional data fields for Accounts and Members. These fields provide flexibility in capturing specific information relevant to your organization's needs.
Accessing Custom Fields
Custom fields can be managed under the following sections:
- Setup / Accounts
- Setup / Members
Only System Administrators have the permissions to manage custom fields.
Creating and Managing Custom Fields
Data Types
Custom fields can be created with the following data types:
- Checkbox: Yes/No option
- Date: Calendar date
- Date & Time: Calendar date with time
- Drop down list: Predefined list of options
- Memo: Multi-line text input
- Text: Single line of text input
Field Properties
Each custom field can be configured with the following properties:
- Name: The label for the custom field (required)
- Description: A brief description of the custom field (optional)
- Group Name: Grouping identifier to organize fields (optional)
- Input Required: Whether the field is mandatory (Yes/No)
- Prompt During Registration: If the field should be prompted to the end-user during registration if not already filled out on their Account or Member information. You can also specify applicable Rosters or Roster Groups for this prompt.
- Visibility: Control who can see the field (Everyone or selected administrative roles)
- Editability: Control who can edit the field (Everyone or selected administrative roles)
- Retired: If you are no longer needing to display or edit this field, select this option to retire the field.
Field Settings

Name: This is the display label for the custom field. It should be descriptive and easily understood by end-users.

Description: An optional field where you can provide additional information or instructions about the custom field. This can help users understand the purpose of the field.

Group Name: Use this to group related custom fields together for better organization.

Required: Set this to Yes if the custom field must be filled out. This is useful for collecting critical information that cannot be skipped.

Prompt During Registration: If set to Yes, the system will prompt end-users to complete this field during registration if it is not already filled out. Additionally, you can specify which Rosters or Roster Groups this prompt applies to. For example, you might require additional information for members registering for a specific training group.

Visibility: Determine who can see this custom field. Options are:
- Everyone: All users can see the field.
- Selected Administrative Roles: Only specified administrative roles can see the field.

Editability: Determine who can edit this custom field. Options are:
- Everyone: All users can edit the field.
- Selected Administrative Roles: Only specified administrative roles can edit the field.
Using Custom Fields
Once custom fields are created, they can be utilized throughout Pool Queue to capture and display additional information for Accounts and Members. The fields will appear in the user interface based on the defined properties and settings.
